Guidelines adopted by Fleming Island Council – November 1, 2018
Will the money go to the needy?
- The amount given to any one organization during a calendar year will be limited to $3,000. Multiple grants for different purposes can be made to the same recipient in any given year, provided the total doesn’t exceed $3,000. Any exceptions must be made by a unanimous vote - as documented in the FI minutes.
How are grant requests handled?
- Grant requests are submitted by sales associates and must have appropriate documentation. Documents needed include: a grant request form filled out by the requesting agent (available in Dropbox); 501c3 tax determination letter from IRS; local contact information, W-9 and organizational documents (can be found on Sunbiz, etc.)
- If a grant request is under $500, the sponsoring agent will briefly present info about the non-profit, its mission, and what the funds will be used for to the council before the electronic vote.
- If a grant request is more than $500 but less than $1,000, the sponsoring agent will, in person at the CBV Cares Committee meeting, briefly present info about the non-profit, its mission, and what the funds will be used for to the council before the vote.
- If a grant request is $1,000 or more, a member (board or volunteer) from the non-profit will be required to attend the presentation to the committee with the sponsoring agent.
- If a grant request is a repeat from the previous year, at any level, no formal presentation is required - regular application and documentation and such is still required.
- Grant money will be reserved for non-profits (501c3) directly serving Clay County residents; this has also been amended to consider requests from an Oakleaf agent that would be used for residents of Duval County.
Who can participate?
- Only agents who contribute to CBV Cares during the year can bring grant requests to the committee.
- Only agents who contribute to CBV Cares during the year may have access to company-sponsored specialty marketing pieces for CBV Cares.
